Clinical Governance

Our clinical governance focuses on patient safety, responsible remote prescribing, clinical review and data protection.

    Patient Safety

We verify identity, screen for red flags and safeguarding concerns, confirm the patient’s location, and use documented escalation pathways when urgent or in-person care is needed.

    Quality Standards

Doctors follow evidence-based remote-prescribing standards. AI-supported information never replaces clinical judgement, and every assessment and prescription decision is reviewed and recorded by a qualified doctor.

    Data Protection

We apply UK GDPR, EU GDPR and the Data Protection Act 2018, with encryption, access controls, audit logs and documented incident response.

    Clinical Team

Our clinicians hold current registration with a licence to practise. They maintain their professional development through continuous medical education and peer review.

    Incident Reporting

We have a robust system for reporting and learning from incidents. All adverse events are investigated and used to improve our service. Significant events are reported to relevant authorities.

    Continuous Improvement

We regularly review our protocols and outcomes. Patient feedback is actively sought and used to improve our service. Our governance framework is reviewed annually.

    Professional Standards

Clinician Regulation: Doctors must hold current registration and a licence to practise with the regulator required for the country in which they treat patients. UK prescribing requires the appropriate UK professional registration.

Data Protection: ChatDoc applies UK GDPR, EU GDPR and the Data Protection Act 2018.

Professional Indemnity: Clinicians must maintain appropriate professional indemnity insurance covering online consultations and each country in which they practise.

Medical Records: Medical records are retained for six years from the last contact, subject to any longer mandatory period that applies in the patient’s jurisdiction.

    Online care safety controls

Our online care safety controls cover:

Patient identity, age and location checks
    Safeguarding and urgent-care escalation pathways
Evidence-based remote prescribing and medicines review
Clear inclusion and exclusion criteria for online care
Clinical audit, incident reporting and duty of candour
Accessible complaints handling and continuity of care

    Complaints Procedure

We take all complaints seriously and aim to resolve them promptly and fairly. If you wish to make a complaint about our service, please email us at support@chatdoc.uk. We aim to acknowledge all complaints within 3 working days and provide a full response within 20 working days.
